Attendance is a payroll input
For organisations where pay is affected by attendance or unpaid leave, attendance data directly influences salary. Incomplete or late attendance information therefore becomes a payroll risk.
Define attendance rules clearly
Document working days, weekly offs, approved leave, unpaid leave, late-coming rules and how attendance corrections are authorised. Payroll software cannot resolve an unclear policy.
Close attendance before payroll
Use a monthly attendance cut-off and allow employees or managers to resolve exceptions before payroll begins. This reduces corrections after salary processing.
Separate attendance from approval
A system may record a missing day, but a manager may need to decide whether it is leave, duty, correction or loss of pay. Keep the recorded event and the approval process distinct.
Reconcile totals
Before final payroll, review employees with unusually high absence, zero attendance, new joining dates or exits. These exceptions deserve manual attention.
Integrate carefully
Attendance integration can reduce re-entry, but test the mapping between attendance status and payroll impact. A technically successful import can still produce wrong salaries if business rules are configured incorrectly.
